Pump Control Panel Alarms: What Property Managers Should Know

There is a flashing light on the pump control panel.

Someone presses reset.

The light disappears.

Problem solved.

Except maybe it isn't.

A pump control panel is often one of the best sources of information about what is happening inside a pumping system. Depending on the installation, it may control pump starts and stops, alternate equipment, activate standby pumps and alert operators when operating conditions move outside normal limits.

An alarm is not just an inconvenience to clear.

It is information.

For property managers, facility teams and operators, knowing what common pump alarms mean can help turn an emergency into an early service call.


High-Water Alarm

This one deserves immediate attention.

A high-water alarm generally indicates that the liquid level has risen beyond its normal operating range.

There are several possible reasons.

The pump may not have started.

It may be running but unable to keep up.

The incoming flow may be unusually high.

A discharge line may be restricted.

Or the primary pump may have failed and the standby pump may not have responded.

The first question should not be, "How do I silence the alarm?"

It should be:

"Why is the level this high?"

Silencing an audible alarm may be necessary, but the condition that activated it still needs to be investigated.


Motor Overload Alarm

Electric motors are designed to operate within specific electrical and mechanical conditions.

When an overload protection device trips, something has caused the motor to draw more current or experience conditions outside its acceptable range.

Potential causes can include:

  • A mechanically overloaded pump

  • A jammed or obstructed impeller

  • Bearing problems

  • Electrical issues

  • Excessive starts

  • Incorrect operating conditions

  • Problems elsewhere in the driven equipment

Repeatedly resetting an overload without finding the cause can turn a warning into a failure.

If it trips again, stop treating the reset button as the repair.


Seal-Failure Alarm

Some submersible pump systems incorporate moisture or seal-leak detection.

When this type of alarm appears, it may indicate that moisture has entered an area where it should not be.

This can provide valuable advance warning before water reaches more sensitive internal motor components.

A seal-failure alarm should be investigated rather than left until the pump stops operating.

Early intervention may provide more repair options.


Phase-Loss or Electrical Alarm

Three-phase motors depend on a healthy electrical supply.

A control panel may detect conditions such as phase loss, voltage problems or other electrical faults depending on the equipment installed.

If a phase-related alarm appears, do not continually attempt to restart the motor.

The electrical supply and motor circuit need to be assessed.

Electrical problems can create heat quickly, and heat is one of the biggest enemies of motor life.


Pump Failure or No-Run Alarm

In automated systems, the controls may request a pump start and expect feedback confirming that the equipment is operating.

If the control system does not receive that feedback, it may generate a pump-failure alarm.

That could point toward:

  • A failed motor

  • A tripped overload

  • A control problem

  • A starter or VFD fault

  • An electrical issue

  • A failed feedback device

  • A pump that has been taken out of service

The important thing is to determine whether the pump actually started rather than simply assuming the alarm itself is faulty.


Lead-Lag or Alternation Problems

Not every control issue generates a dramatic alarm.

Sometimes the clue is operational.

In systems with multiple pumps, one unit may accumulate most of the runtime while another is rarely called.

A lead-lag or alternating system should be periodically reviewed to make sure the pumps are sharing the workload as intended and that standby equipment is actually available.

If Pump 1 has thousands of hours and Pump 2 has barely run, ask why.


VFD Faults

Variable frequency drives can display fault codes that help narrow down what happened when equipment stopped.

Depending on the drive, those faults may relate to conditions such as:

  • Overcurrent

  • Overvoltage or undervoltage

  • Overtemperature

  • Ground faults

  • Communication problems

  • Motor overload

Do not assume every VFD fault means the drive itself has failed.

The fault may be reporting a problem somewhere else in the motor, pump or electrical system.

Record the fault before resetting it.

That information may be extremely useful during troubleshooting.


The Most Important Habit: Record Before You Reset

When an alarm occurs, capture the information available.

Take a photo of the panel.

Write down the fault code.

Record which pump was running.

Note the approximate water level or system pressure.

Document the time.

If the system is tied into building automation, review recent alarm and operating history.

Those few pieces of information can make troubleshooting much easier than arriving later to a panel that has been reset with no record of what happened.


Test the Alarms Before You Need Them

An alarm system only provides protection if someone knows it activated.

As part of regular system inspection, confirm that critical alarms function and reach the intended person or monitoring system.

That is especially important for:

  • Mechanical rooms

  • Parkades

  • Sump systems

  • Lift stations

  • Equipment operating overnight

  • Unoccupied areas

  • Systems protecting critical building operations

A high-water alarm sounding in an empty room at 2:00 a.m. is not much protection if nobody receives it.


Your Control Panel Is Trying to Tell You Something

Pump controls are designed to make systems more automatic.

But automatic does not mean "ignore it until it fails."

Alarm lights, fault codes and unusual operating sequences are opportunities to investigate a developing problem before the equipment reaches the point of complete failure.

When something appears on the panel, capture it, understand it and find out why it happened.
